About CalProof
What CalProof does
CalProof is calibration management software for UK quality teams. It tracks your equipment register, schedules calibrations, stores certificates with a SHA-256 of each upload as evidence, supports the out-of-tolerance workflow ISO 9001 Clause 7.1.5.2 expects, and generates an audit pack you can hand to a certification body or UKAS assessor without assembling it by hand.
Who it's for
Quality managers, metrology managers, and lab managers at UK SMEs with 10–200 employees and 20–500 calibrated instruments. Two segmented entry points reflect the different evidence needs each buyer has:
- Calibration laboratories holding ISO/IEC 17025 / UKAS accreditation — surveillance against the laboratory’s scope of accreditation, M3003-style uncertainty handling, traceability records.
- Manufacturers running an ISO 9001 quality system — certification-body audits and customer / supplier audits against Clause 7.1.5, with calibration evidence supplied by an accredited provider.
What CalProof currently includes
The current product covers:
- Equipment register with CSV import.
- Calibration scheduling with email reminders ahead of due dates.
- Certificate upload (PDF, SHA-256 recorded at upload as evidence) linked to instrument and calibration record.
- Out-of-tolerance workflow covering affected period, disposition, recalibration scheduling.
- Audit pack generation that includes equipment register, per-instrument detail, certificate references (filename + SHA-256 + 7-day signed URL), OOT records, audit-log excerpt, and method-statement / sign-off pages. See the sample audit pack PDF for a worked example.
- Self-serve account export and self-serve account deletion.
On the roadmap (not yet available): support for the upcoming ISO 9001:2026 revision, multi-site tracking, cross-cycle drift analysis, ISO/IEC 17025 uncertainty propagation, and an API. Security and retention
Database-level row-level security isolates every workspace. Certificate uploads, audit-report PDFs, and export bundles each live in their own private storage bucket with MIME locks and per-bucket policies. A full audit log of write actions is retained for seven years per the ISO 9001 / ISO/IEC 17025 records expectation. Customer data is hosted in Supabase’s UK region (London, AWS eu-west-2). What CalProof is, and isn't
CalProof is a calibration management system: it stores the evidence, supports the workflow, and helps you produce the audit pack. CalProof is not an accredited calibration laboratory and does not issue calibration certificates — your UKAS-accredited provider does that work, and CalProof keeps the records straight between visits. The free public tools (uncertainty calculator, completeness checker, schedule generator) are educational aids that show how the underlying maths works; they don't replace a validated calibration procedure.
