Calibration is a common source of non-conformances at ISO audits

Most UK SMEs still track calibration in spreadsheets. The problems are systemic — and auditors know exactly where to look.

Missed calibrations

No automated reminders. Instruments go overdue. Calendar reminders get dismissed — and the auditor finds the gap.

Lost certificates

Paper and PDF certificates scattered across folders. Auditor asks for instrument #247's history — 30-minute scramble.

No out-of-tolerance procedure

Equipment fails calibration. Which products were measured with it? Without a systematic trace, quarantine decisions are guesswork.

Audit day panic

Export the spreadsheet, format it, hope the auditor doesn't ask about measurement uncertainty. Every surveillance visit is the same scramble.

Know exactly where every instrument stands

CalProof replaces your spreadsheet with a system built around ISO 9001 Clause 7.1.5 and ISO 17025 — so you're audit-ready before the auditor arrives.

Equipment register

Full metadata — serial number, type, manufacturer, location, tolerance specs, calibration provider, interval. CSV import from your existing spreadsheet.

Automated scheduling

Configurable reminders at intervals you set. Due dates tracked in a dashboard — not a calendar you might not check.

Certificate management

Upload and link certificates directly to equipment records. Full audit trail. One click to find any instrument's complete history.

Out-of-tolerance workflows

Guided procedure: flag the affected period, trace impacted measurements, record disposition, trigger re-calibration. The process auditors look for.

Compliance dashboard

Real-time overview of due, overdue, and current status across all instruments. Exportable for auditor review.

Audit-ready reports

ISO 9001 Clause 7.1.5 and ISO 17025 mapped reports. Calibration history, traceability, measurement uncertainty — generated on demand.

Frequently asked questions

How do I check if my calibration management is ISO 9001 compliant?
ISO 9001:2015 Clause 7.1.5 requires that monitoring and measuring equipment is calibrated at specified intervals, traceable to international standards, and protected from adjustments that would invalidate results. You need documented calibration intervals, linked certificates with measurement uncertainty data, and an out-of-tolerance procedure. CalProof gives you these by default — auditors check by selecting instruments at random and asking for their full calibration history; in CalProof that history is one click.
What is UKAS accreditation and do I need it for calibration?
UKAS (United Kingdom Accreditation Service) is the national body that assesses calibration and testing laboratories against ISO 17025. You need UKAS accreditation if you provide calibration services to others, or if your customers or regulators require traceable calibrations from an accredited laboratory. CalProof Pro includes UKAS workflow templates for initial accreditation, surveillance assessments, and scope extensions.
How often should measuring equipment be calibrated?
Calibration intervals depend on equipment type, usage frequency, criticality, and historical stability. There is no single mandated interval — ISO 9001 requires intervals to be "specified" and justified. Typical ranges: micrometers and calipers every 6-12 months, pressure gauges every 12 months, thermometers every 6-12 months, and reference standards annually. CalProof suggests defaults by equipment type and lets you override per instrument.
What should I do when calibration equipment is found out of tolerance?
When equipment fails calibration, you must: identify the affected period (since last successful calibration), trace which products or measurements were made with that instrument, assess whether the error magnitude could have caused incorrect results, document your disposition decision for each affected batch, and verify corrective actions are completed. CalProof Pro guides you through this 4-step OOT workflow and records the completed disposition in the audit trail.
Can I migrate from Excel to CalProof?
Yes — CalProof imports Excel and Google Sheets exports with arbitrary column headers. Map your detected columns to CalProof's schema (we suggest mappings automatically), preview the first 10 rows with validation, then import. Invalid rows are reported as a downloadable errors.csv without blocking valid rows. Most users are operational within half a day, including reminders and certificate uploads.
What does CalProof cost?
Starter is £29/month for up to 50 instruments and 3 users. Pro is £59/month for up to 500 instruments, unlimited users (capped by the 500-instrument limit), OOT workflows, ISO audit reports, UKAS templates, and the Export Everything ZIP bundle. Annual billing saves around 15%. 14-day trial on every paid plan. No long-term contracts. See the full /pricing page for details.
Who is CalProof designed for?
CalProof is built for quality managers, metrology managers, and lab managers at UK SMEs with 10-200 employees and 20-500 calibrated instruments. If you hold ISO 9001, ISO 17025, or UKAS accreditation and currently track calibration in spreadsheets, CalProof is designed for your workflow.
Is my calibration data secure?
Cloud-hosted with encryption at rest and in transit. UK-region object storage. Daily backups retained 30 days. We record a SHA-256 of every certificate at upload as evidence of the file we received. Audit-log records are immutable at the database level — UPDATE and DELETE are denied even for admins. Stronger compliance posture than any spreadsheet, by design.
How long does it take to migrate from Excel to CalProof?
CSV import from Excel and Google Sheets typically takes 30 minutes for 200 instruments, including column mapping, validation, and certificate upload. Most users will be fully operational within half a day, including setting up automated reminders and uploading existing calibration certificates.
Does CalProof support ISO 17025 as well as ISO 9001?
Yes. CalProof generates audit reports for both ISO 9001:2015 Clause 7.1.5 (monitoring and measuring resources) and ISO/IEC 17025:2017 (equipment requirements, metrological traceability). UKAS accreditation workflow checklists are included on Pro for laboratories seeking or maintaining accreditation.
