What surveillance assessors check — and where CalProof helps

Equipment register

Each instrument carries type, manufacturer, serial, location, tolerance specification, and an optional parent-reference link. Use the location and tolerance fields to encode scope-relevant groupings; the audit pack PDF lists the full register for the assessor.

Calibration intervals

Per-instrument intervals with documented justification. Reminder cron emails the responsible signatory ahead of due dates.

Reference standards traceability

Each instrument can link to a parent reference standard, building the chain back to the SI through your accredited supplier. Certificate uploads capture the originating laboratory identifier and a SHA-256 of the file as evidence of what you received.

Audit-log writes are immutable at the database level (UPDATE and DELETE denied for everyone, including admins). Retained for seven years.

How does CalProof support a UKAS surveillance visit?
CalProof generates an audit pack PDF that contains the equipment register, per-instrument detail with calibration history, certificate references (filename, SHA-256, 7-day signed URL), out-of-tolerance disposition records, an audit-log excerpt, and a method-statement / sign-off page. The pack is generated from the same runtime that operates day-to-day, so what your assessor sees is what you operate against — there is no separate report-only data set.
Does CalProof replace UKAS-accredited calibration?
No. CalProof does not issue calibration certificates and is not an accredited calibration laboratory. It is the management system around the calibrations your laboratory performs (or commissions): the equipment register, the certificate store, the OOT workflow, the audit log, the report generation. Your scope of accreditation, your CMC, and your validated procedures stay in your own quality system.
How does CalProof handle measurement uncertainty?
Each calibration record stores measurement uncertainty as a structured per-calibration field, linked to the certificate PDF and the traceability chain. Pro-tier audit reports surface uncertainty per calibration. The free measurement-uncertainty calculator on /tools/ lets you compose Type A + Type B contributions in line with JCGM 100 (GUM) and UKAS M3003 as a working aid; CalProof does not replace your validated uncertainty budget or UKAS-accredited procedures.
How does CalProof handle traceability?

Certificate uploads carry the originating laboratory's identity in the certificate metadata and the SHA-256 of the file as evidence of what you received.
What is the ISO/IEC 17025 §7.8 certificate completeness checker?
A free public tool that scores any calibration certificate against the twelve content requirements of ISO/IEC 17025:2017 §7.8 (eleven from §7.8.2.1 plus the §7.8.4.1 (d) corrections requirement). Use it during incoming inspection to spot a non-compliant certificate before it lands in your equipment register, or during sub-contractor selection to compare suppliers.
