Frequently asked questions

How does CalProof support an ISO 9001 surveillance audit?
ISO 9001 Clause 7.1.5 ('Monitoring and measuring resources') is one of the more frequently audited clauses for manufacturers. CalProof gives you the four things a certification-body auditor will ask for: a complete equipment register, evidence of specified calibration intervals with documented justification, calibration certificates linked to the instrument and traceable to international standards, and a documented out-of-tolerance procedure. Do customer audits and supplier audits need different evidence?
Often, yes. A certification-body auditor reviews your quality system against ISO 9001:2015 broadly. A customer auditor (especially in regulated sectors like medical-device or aerospace) tends to focus on instruments specific to the parts they buy from you, the as-found data on the most recent calibration, and the disposition records for any out-of-tolerance event affecting their batches. Does CalProof issue calibration certificates?
No. CalProof is the management system around the certificates your accredited calibration provider issues. We do not perform calibrations and we are not a UKAS-accredited laboratory. The product stores certificates, links them to the instrument and the calibration event, computes a SHA-256 of each upload as evidence of the file we received, and surfaces them in the audit pack.
What does CalProof do that Excel does not?
Automated email reminders ahead of due dates (Excel cannot do this reliably). A direct link from each certificate to the instrument and the calibration record (Excel keeps these in separate files). A documented OOT workflow — affected period, disposition decision, recalibration scheduling — captured against the calibration record (Excel needs a separate procedure document). An immutable audit log of write actions retained for seven years (Excel files are mutable and version control is informal). And an audit pack PDF generated on demand instead of assembled the night before.
Can the equipment register be searched and filtered for an audit?
Each instrument carries a free-form 'location' field you can use to encode site, building, production line, or department, plus the standard instrument fields (type, manufacturer, serial, due date, state). The register supports search across those fields. The audit pack PDF exports the whole-org evidence set — equipment register, calibration history, linked certificates, OOT records, audit-log excerpt — which is what an ISO 9001 surveillance auditor or customer auditor expects to receive for the management-system review.
